How I Use AI as a Product Owner: Real Workflows That Save Me Hours Every Week
I've spent over a decade in product delivery — oil & gas, life sciences regulatory, and fintech at Broadridge. The one constant across all three industries? Requirements are always messy. Stakeholders speak in paragraphs. Engineers want bullet points. Somewhere in between, the Product Owner has to translate chaos into clarity.
AI changed my workflow completely. Not in a "robots will replace us" way — in a "I can now do 4 hours of documentation in 20 minutes" way. Here's exactly how I use AI daily as a Product Owner.
1. From Stakeholder Notes to Structured Requirements
My most common workflow: I walk out of a stakeholder meeting with 3 pages of rambling notes. Before AI, I'd spend an hour organising them into functional requirements, non-functional requirements, and user stories. Now I paste those notes into BA Assistant and get a structured BA/PO report in under 60 seconds.
The output includes categorised functional requirements, NFRs (security, performance, scalability), user stories with Given-When-Then acceptance criteria, MoSCoW prioritisation, a risk matrix, and Mermaid diagrams. 2. Backlog Refinement in Minutes, Not Hours
Backlog refinement used to be my least favourite part of sprint planning. Taking a feature idea and breaking it down into 5-10 well-written user stories with acceptance criteria is genuinely hard work.
Now I write a one-paragraph feature description, run it through BA Assistant, and get a draft set of user stories with acceptance criteria. I then review, reprioritise, and load them into Jira. What used to take an afternoon now takes 30 minutes.
3. Architecture Diagrams Without Drawing Tools

AI output is a first draft, never a final deliverable. I review everything. I add context the AI doesn't have. I remove anything that doesn't apply. The AI saves me the grunt work of structuring, formatting, and covering the basics. The judgment, strategy, and stakeholder nuance still come from me.
